Executive Board Meeting Minutes
July 10th, 2008


Canyon Rim Elementary School-Mrs. Parker’s Classroom

Meeting called to order at 6:36 pm

In Attendance: Andy Shetter, Krista Kepler, Tawna Mower, Angie del Pinal, Sandy Najeeb, Tisha Olson, Robyn Gift, Beth Cohen, Kristen Parker, Danielle Campbell, Korry Brenner, Karen Radics, Ritsa McLerran and Kym Feidler

Andy Shetter, President, Presiding

Began by introducing all new board members.

President’s Report – Andy Shetter
*Andy passed a list of 6 events needing a chairperson(s)
-Doughnuts With Dad
-Cougarnival
-Muffins With Mom
-Collectibles
-AR Night
-Fall Festival

*Robyn Gift and Tawna Mower will be co-chairing the Doughnuts With Dad event
*Kym Feidler will take care of Collectibles

Treasurer’s Report – Kendra Lewin
*Last year’s treasurer, Kendra Lewin, came to our first meeting to update us on the state of the
Budget, check book, etc.

*The final check book balance as of the end of June is $13,227.05
*Still waiting for a rebate check from Harkins Theaters
*Still waiting for a discount from the company that did our yearbooks

*Motion was made by Karen Radics to accept this budget with a beginning balance of $13,227.05

Executive Vice President; Beth Cohen

Vice President-Membership – Joel
*Not present, nothing to report

Vice Presidents-Ways and Means; Ritsa and Angie
Ritsa:
*Doing Cold Stone Creamery instead of Chick-Fil-A on the 18th of September
*Maybe no Village Inn in November due to Butterbraids.
*Will be needing volunteers for all events
*Emailed Elise at Varsity Gold regarding our Meet The Teacher Nights, hoping that she could
Come and bring some catalogs, etc. Elise hasn’t gotten back to her.
*Really wanting to hype up the fundraisers this year and get everyone excited about them.
Angie:
*Tropical Smoothie all set. Switched it though to October 23rd from October 24th. There will
Be a total of 4 Tropical Smoothie Days this year. Kids will come to get their smoothies, no more classroom
Deliveries.
*Papa John’s all set
*In & Out does not do any fundraisers in their restaurant. We would have to order and then they bring a van
Out to the school. So, we will be switching to Chick-Fil-A instead for November 5th. Ritsa will call and book
Chick-Fil-A and email Andy/Tisha with the go ahead to put on the calendar.

Vice President-Publicity – Tisha
*Made rough draft of calendar, everyone liked very much
*Korry updated some final calendar dates
-Welcome Back Staff Luncheon on August 4th
-Book Fair will be from October 21st through October 28th with “Take Me Out To The Book Fair”
Being the last night of the fair, the 28th
-Butterbraids are November 10th through November 21st
Ritsa will call Butterbraids and have them bring some samples to the Family Night Hike on Nov. 14th
-Family Night Hike will be November 14th, instead of a Pumpkin Walk this year, due to scheduling
Conflicts and the Halloween holiday not presenting a Friday night in October for the pumpkin walk.
Family Night Hike will be inexpensive family entertainment, focusing on spending time with family.
After the hike there will be a movie on the field with pizza, etc.

Arts Liaison – Charmaine
*Not present, nothing to report

Collectibles – Kym Feidler
*Will chair collectibles

Blood Drive Coordinator – Twila
*Not present, nothing to report

Concessions – Lorie
*Not present, nothing to report

Back to School Nights – Karen
*Same set up as last year
*Stations for membership, t-shirts, paper and yearbooks.
*Calendars - Will only be given out to the youngest child in each family to help out with costs. This will be
Done by the teachers in the classrooms that night.
-Calendars need to be delivered by the 21st of July so can get to teachers
to distribute at Meet The Teacher
-Tisha will d/o copy to Robyn or email directly to the printer. Robyn will let her know which.
-Robyn will call printer and order 500 calendars
*Membership – Cost for membership will remain the same as last year.
$8 individual, $12 family and $50 Business
*Volunteer Form – Andy will collect all volunteer forms and do an excel spreadsheet with all volunteer info
-Don’t want to list all events this year on volunteer form, just a blanket “yes, I will volunteer” form
Except for yearbook, we need to have people who will specifically sign up to volunteer for that
-Tisha will make a new form
-Will add “What Your PTA Does” on the back of the new form
-Karen will make packets and then put a $form on the top of all the forms
*Bricks – Beth will be doing bricks this year
*T-Shirts - $10 and $12, Brown and Charcoal Grey
*Paper – 1 ream/$4 and 2 reams/$7
-We do have some paper in the closet already, Karen will count later, may need more
-If need more, Karen will go buy some
*Yearbook – Sold only at PTA events again this year. Cuts back on confusion and children having to carry
Money, as well as teacher’s having to collect it and get it to the right people. $20.00 pre-sale

*ONLY cash and checks will be collected at Meet The Teacher Nights…NO credit cards or debit.
-This was stated in the info that Korry sent home already
*Sandy and Twila will have a pay table. We will move it further down than usual to help alleviate any
“back up” at the other stations
*NO food this year. Maybe pencils or other items in the closet that we need to get rid of. Karen will
Look in the closet to see what she can find. Need to get rid of surplus in the closet
*Will sell left over yearbooks from 2007-8 at Meet The Teacher Nights for $20.00 each

*Meet The Teacher Dates and set up times are:
July 31st @5:00 pm
August 4th @ 5:00 pm
*Karen will email everyone to remind them. Needs as many volunteers those nights as possible. This is
Our biggest night to be able to recruit new PTA members and volunteers!

*Kristen Parker suggested putting Membership forms in the children’s packets, just in case the parents do
Not make it to the cafeteria.
-Ritsa will donate label stock and make the labels for envelopes
-Karen will buy the envelopes
-Will be included in packet for the youngest child in each family, just like the calendars

*Karen will check on signage for Meet The Teacher Night and will get everything to the teachers asap

Hospitality – Tawna and Krista
*Welcome Back Staff Luncheon will be on August 4th, 11:30-1:00, come and go. It will be held in the
Project room. Probably having Tropical Smoothie!

Yearbook – Krista
*Korry told Krista that there is a rep from the yearbook company willing to come and teach them how to
Do the yearbook electronically this year. This will help with quality control.
*Krista will make copies of the yearbook order form for Meet The Teacher Nights. Will call the yearbook
Company to verify pricing for this year first.
*Krista looking for volunteers

Primary Teacher Reps – Robyn and Danielle
*Nothing to report

Intermediate Teacher Rep – Kristen Parker
*Nothing to report
*Just wanted to verify that the PTA board meetings will still be held on 1st Thursday of month at 6:30 pm
*Andy verified that they would still be held on those days at that time

Principal’s Report – Korry Brenner
*Knows it is really early…but Gilbert Education Foundation is in the spring.
-Need a basket again this year. Can someone contact Harkins Theaters for donations?
-Kym Feidler will contact Harkins
*T-Shirts – Passed around the design and the catalog to see the colors
-Heather Brown and Charcoal Grey
-Will double check the ink colors on the sample once the printer gets them to her
-“PTA” and “Staff”, should we print on back or not. If do there may be a problem

*Traditions – We need to try to hold on to some of our traditions but sometimes we have to try new things,

*Kohl’s – Has something called an “A-Team”. They will send 5 volunteers to help at our school event AND
Will donate $ to our school for letting them come and help us! Can only be done 1 time per year

*Staff Changes – There are a lot of staff changes this year. Korry is confident that we have some pretty
Great teachers coming on board

-New Vice Principal of Canyon Rim will be Kristen Mayfield, though we will be sharing her with

*Hoping to broaden our after school tutoring – district giving more $ toward that

*Limiting boundary exceptions this year, as to not raise class sizes to bursting at the seams, which is no

*Expected to get up to just over 1200 kids this school year.

*Karen wanted to know who was in charge of updating our website. Kristen Parker relayed that her mother
Updates it for us but that she needs our info for the 2008-9 year. Tawna will be emailing her the updated
Board list for 2008-9 and the meeting minutes each month from now on.
